How to Manage School Transport Fees During Vacation Months

Vacation-month transport fees depend on the operator’s or school’s agreed policy. The important operational rule is to configure that policy before creating pending lists and to communicate it consistently.

Choose and document the charging policy

Some services charge only for operating months. Others spread an annual contract across every calendar month. Either approach needs a clear agreement with families.

Record the normal school period, vacation start month and number of no-fee months. Review the settings when the academic calendar changes.

Prevent false pending fees

A no-fee month should not appear as overdue. False dues waste time, frustrate parents and make the dashboard less trustworthy.

In Sofy.app, owners can configure the fee calendar so the pending board recognises vacation months.

Treat advance payments carefully

If a parent pays several months in advance, skip configured no-fee months unless the agreement says otherwise. Show the exact covered months on the receipt.

When service resumes after vacation, the next chargeable month should appear without recreating the student record.

Handle mid-year changes

A school may revise its calendar, or a student may join or leave transport during the year. Update future expectations while keeping earlier receipts intact.

For refunds or partial-month charges, use a documented policy and retain a note explaining the decision.

Communicate before the holiday begins

Tell parents whether the vacation month is free, included in an annual contract or charged differently. A message sent before the last operating day prevents most disputes.

The software record and the message should use the same month names and amount.
