Move a School Transport Register from Paper to a Digital System
Moving to a digital transport register works best as a small controlled project. Start with active students and the current fee position instead of trying to reproduce every old notebook entry on day one.
Prepare the source register
Remove duplicate student rows, mark students who have left, and standardise parent phone numbers. Decide which notebook or spreadsheet is authoritative when records disagree.
Keep the original register during the transition. It is the reference for resolving questions, not something to discard immediately.
Import the minimum useful fields
Begin with the information needed for daily work: student name, parent name and phone, school, batch, monthly fee and current paid-through month.
Additional notes can be added later. A smaller accurate import is more useful than a large uncertain one.
Build batches and vehicles first
Create the real morning, afternoon, route or locality groups used by the team. Add vehicles and team users, then assign students.
Review the unassigned list so no active student disappears between the paper register and the new system.
Verify with a pilot batch
Choose one batch and run it in both systems for a short period. Record collections, share receipts and compare the pending list with the old register.
Fix field formats and team habits before importing the remaining batches.
Set a clear cutover date
Choose the date after which new payments must be entered digitally. Without a cutover date, staff may update different records and neither remains reliable.
Retain the old records according to business and legal needs, but use one current system for day-to-day decisions.
